How not to miss a hotel opening date: the FF&E delivery schedule

A hotel's opening date is set long before the first shipment of furniture reaches the site. Bookings have been sold against it, staff hired, a marketing campaign scheduled. A one-month slip costs more than the entire saving that usually motivates taking the risk.

Why schedules slip

The cause is almost never manufacturing itself. More often it is the gaps between stages: the specification is signed off late, sample approval takes longer than planned, a fabric turns out to be unavailable and has to be substituted, a shipment is held at customs. Each delay looks small on its own, but they accumulate.

The schedule is built backwards from the opening date

The correct planning order is reversed. Fix the opening date first, then count backwards through acceptance, installation, delivery to site, customs clearance, shipping, production, material procurement, sample approval and specification. Only then does it become clear when each stage actually has to close, rather than when it would be convenient.

Where to put the buffer

Buffer belongs not at the end of the schedule but at the points outside the contractor's control: sample approval on the client's side, customs clearance and sea freight. The production cycle is predictable; those three stages are not.

What keeps a project on time

A single contractor for the whole scope. When specification, procurement, logistics and installation sit in one contract, there are no seams between stages where responsibility gets lost.

Pre-shipment inspection. A defect found at the factory costs days. The same defect found on site costs weeks.

Backup manufacturing capacity. An in-house facility plus a vetted contractor network make it possible to redistribute an order when the main line is loaded.

Phased shipment. Furniture for public areas and lower floors travels ahead of the upper-floor guest rooms, so installation starts without waiting for the full volume.

Opening on time is not luck. It is the result of a schedule drawn up before procurement began.
